Teacher's guide to the notice period for lesson cancellations and refunds

For teachers. The notice period for lesson blocks, offers and groups explained.

This article explains the notice periods for cancellations and refunds of lessons booked and paid for by the student.

Three products can be used to book lessons at MusicTeachers.co.uk and the rules for each are different.

Teachers can book lessons using any of the following systems:

  1. Lesson blocks/Credits

  2. Offers/Trial Lessons

  3. Group Lessons

Please note: Cancellation notice periods only apply once a lesson has been paid for. If a lesson has not been paid for by the student, it is not considered confirmed and will not be included in the teacher’s payouts.

Teachers should therefore ensure that lessons are prepaid before teaching them.

Lesson blocks/credits system

The notice period for cancellations is 24 hours when a lesson is booked via the Lesson blocks/Credits.

If a student provides less than 24 hour's notice, the lesson should remain in the calendar. This will still be visible on the teacher's invoice and included in the next teacher's payment.

If a student notifies the teacher at least 24 hours before the start time of the lesson, the lesson can be cancelled and the credit will be returned to their student account where it can be rebooked going forward.

If a student requests a cash refund for unused credits, they should contact the support team by emailing [email protected]. They are entitled to a refund up to 12 months from the date of purchase of the credits in question. The refund amount will be calculated based on the remaining unused lessons, minus the non-refundable service fee and the £3.00 processing fee.

Offers/Trial Lessons system

Offers and Trial Lessons have the same options for refunds and cancellations during the booking process and the details below apply to both types of bookings.

Please note that all Offers and Trial Lessons are subject to a 14-day cooling-off period, starting on the date of purchase. Within this period, all students have the right to cancel the booking and receive a full refund, unless they attend a lesson that is part of that booking. In that situation, the cooling-off period ends.

The teacher can customise the refunds and cancellations policy when creating the Offer or Trial Lesson to suit their needs from the options shown below:

If a student decides to cancel a lesson in an Offer or a Trial Lesson (teacher chooses 1 option):

  1. Make-up lessons will not be offered.

  2. Make-up lessons will be offered where possible but can’t be guaranteed. A notice period of X days is required ahead of cancellation.

  3. Make-up lessons will be offered. A notice period of X days is required ahead of cancellation.

If a student decides to cancel an entire offer (teacher chooses 1 option):

  1. No refunds will be possible once the offer is paid and the cooling-off period ends.

  2. Refunds on lessons which are part of the offer will be given after a notice period of X days.

(where X is the number of whole days chosen by the teacher)

Group Lessons system

Please note that all Group Lessons are subject to a 14-day cooling-off period, starting on the date of purchase. Within this period, all students have the right to cancel the Group Lesson registration and receive a full refund, unless they attend a lesson that is part of the Group Lesson booking. In this case, the cooling-off period ends.

To cancel Confirmed Group Lessons within the 14-day cancellation period the student must send the teacher a message with the instruction to cancel the Group Lesson registration.

If a Confirmed Group Lesson is cancelled by a student within the 14-day cancellation period, the price for these lessons will be refunded to the student and the teacher fees will be removed from the teacher’s prepared invoice.

The student may not cancel a Confirmed Group Lesson if they attend one or more of the lessons forming part of the Confirmed Group Lesson, as at this point, the student’s right to cancel will have expired and the student will be obliged to pay for all Group Lessons created by the teacher in the Group Lesson booking.

If the teacher cancels any Group Lesson that forms part of a Confirmed Group Lesson booking (at any time), the teacher shall reschedule the relevant Group Lesson for an alternative time and date mutually convenient to the teacher and the student(s).
